Fuzzy matching on domain, normalised company name and contact identity, with confidence thresholds that decide between automatic merge and human review. Merge rules define field-level survivorship explicitly, so the merged record keeps the best value rather than whichever record happened to be older.
Normalise at the Point of Entry
Country codes, industry taxonomies, company name formats, phone and email normalisation applied on write, wherever the record originates. Cleaning downstream is endless; validating on entry is finite and it is the change that makes the cleanup hold.
Prevent Duplicate Creation
Real-time matching when a rep creates a record or a form submits, surfacing likely matches before creation rather than merging afterwards. Prevention is much cheaper than remediation, and it is a configuration change rather than a project.
Monitor Quality as an Owned Metric
Duplicate rate, field completeness, staleness and validation failures reported continuously with a named owner. Data quality decays silently unless somebody watches a number, and a dashboard nobody owns is the same as no dashboard.

Common Questions
Can this run without buying a dedicated dedupe tool?
Often yes, particularly if you have a warehouse where matching can run and write results back. Dedicated tools are convenient and their matching logic is usually a black box. We are agnostic and will use what you have where it is adequate.
How do we handle account hierarchy versus duplicates?
They are different problems that get conflated constantly. Two records for the same legal entity are duplicates; a parent and its subsidiary are a hierarchy. Merging hierarchy into one record destroys reporting, so the matching rules have to distinguish them explicitly, which most default tools do not.
Will reps accept a matching step when creating records?
If it is fast and actually helpful, yes. Surfacing an existing account with its history saves them work. If it is slow or produces poor matches they will route around it immediately. The quality of the matching determines adoption entirely.
How often should hygiene run?
Prevention runs continuously at entry; batch deduplication weekly or monthly depending on record creation volume; the quality review monthly with an owner. Anything less frequent and problems accumulate to the point where remediation becomes a project again.
